System Manager

Role and responsibilities

We have a team of 20+ experts working in Document Control, Document Management Systems and Project Assistance. Our team is responsible for Document Control and the maintenance and development of related systems. We also assist projects in their daily tasks and for example project invoicing.

This role reports to Group Manager Document Control & Project Assistance in Porvoo.

Your work location will be in the Neste Porvoo office in Kilpilahti, with some possibility for remote work (hybrid). Neste organizes bus transportation to the Porvoo office in Kilpilahti from various locations in Helsinki and Espoo.

This position is initially a 12-month contract, with a possibility for permanent extension.

Your main responsibilities include:

  • Performing system management and development related to our Document Management Systems
  • Planning, developing and implementing ITSM processes
  • Evaluating user needs and system functionality making sure that our systems meet the business needs
  • Ensuring compliance to company’s Cyber Security requirements
  • Managing possible crisis situations which may include complex technical hardware or software related problems
  • Keeping up to date with latest DMS technologies
  • Mentoring and training new system support staff
  • Project management when applicable

You will work closely with internal and external stakeholders, such as IT and suppliers to ensure functionality of the systems. This position is critical for ensuring the business continuance by providing secure, stable and available systems support for our project execution.

Key requirements:

The best combination of experiences, skills and background is:

  • A suitable degree in Engineering or Economics (for example, a BSc. in IT)
  • You have previous experience in IT
  • You are detail oriented and are able to work independently
  • You love problem solving and working with IT systems
  • You can keep calm and stay analytical when under pressure
  • Good project management skills
  • Good interpersonal skills with ability to communicate with people at all levels in a company
  • Good networking skills
  • English skills are required, competence in Finnish is an extra bonus
  • You have a valid work permit allowing you to work full-time in Finland

We also value:

  • Experience in Document Management tasks
  • Experience in ERP and DMS solutions
  • Good knowledge in ITSM
  • Programming skills are a bonus
